Connecting Internal HR Systems to Improve Payroll Process and Transparency

Overview & Challenge

The client is a multinational public transport company, with headquarters in England and subsidiaries in 14 European countries. As one of the leading transport companies in Europe, the Client has more than 50 000 employees, and is serving an enormous number of passengers annually. Their mission is to ensure safe and comfortable journeys led by courteous people.

The client focuses not only on providing the best service to its clients, but also best employee care by ensuring that payroll is in accordance with the worked hours. However, the client whose enterprise includes 14 subsidiaries, had multiple legacy systems used for tracking payroll and absence data. All the systems were based on different file formats and worked on different principles. As a result, the data across the enterprise was disconnected and data managing had to be done manually which resulted in increased costs, time, and mistakes in payroll.

Solution

The solution implements, integrates, and synchronizes the Workday Cloud ERP system with the heterogeneous enterprise legacy systems and HRM systems, gathers data from the systems, and stores it in a Redshift DB, which can be accessed from all subsidiaries.

Business Outcomes

The solution enabled the client to integrate all payroll and absence data in one place, improve the payroll creating process, and increase transparency among the subsidiaries of the enterprise. Key results include:

  • Improved decision-making process by having consistent data reports and statistics based on real-time information.
  • Reduced time for completing the integration between Workday and the legacy systems for the overall process.
